What Are Bill Row Templates?
Bill row templates are pre-saved content for bill line items. When you frequently create bills with similar row titles and descriptions, templates let you select pre-configured content instead of typing it from scratch each time.
Each template stores:
- Friendly Name - How you identify the template in the selection list
- Row Title - The text that appears as the line item title on the invoice
- Description - The detailed description that appears below the title
Why Use Bill Row Templates?
Consistency When multiple people create bills, templates ensure everyone uses the same terminology and formatting. Your invoices maintain a professional, consistent appearance regardless of who creates them.
Speed Instead of typing "Professional Services - Financial Statement Preparation" every time, select it from a dropdown in two clicks.
Accuracy Pre-defined templates reduce typos and ensure standard phrasing is used across all invoices.
Using Templates When Creating Bills
When adding or editing a bill row:
- Click Edit on the row you want to modify
- Look for the template button (dropdown icon) next to the title field
- Click to view available templates
- Select the template you want to use
The template selection shows:
- Bold text - The template's friendly name (how you identify it)
- Regular text - What will actually appear as the row title
- Description preview - What will go in the description field
When you select a template, the title and description fields automatically populate with the saved content. You can still modify these values for the specific bill if needed.
Tip
Even after applying a template, you can edit the populated content. For example, add specific date ranges like "during the period 2025-2026" to the description.
Managing Templates
Viewing Existing Templates
- When editing a bill row, click View Templates at the top of the dialog
- A dropdown appears showing all available templates
- Select a template to view or edit its content
Creating a New Template
- Click View Templates when editing a bill row
- Select Create New Template from the dropdown
- Enter:
- Template Name - The friendly name for identification
- Title - The row title text that will appear on bills
- Description - The description text for the line item
- Save the template
Editing a Template
- Click View Templates
- Select the template you want to modify
- Update the title, description, or template name as needed
- Save your changes
Note
Editing a template does not change existing bills that used that template. It only affects future uses of the template.

Template Best Practices
Start with Common Patterns Review your last 20-30 bills to identify recurring row descriptions. Create templates for any content that appears more than 3-4 times.
Use Clear Template Names The friendly name should be immediately recognizable. "Tax - Individual Return" is clearer than "TR1" or "Template 7."
Keep Descriptions Flexible Write descriptions that work across multiple billing periods. Use placeholders like "during the billing period" rather than specific dates, then customize when applying.
Review Periodically As your services evolve, update templates to reflect current terminology and offerings.
Standardize Across the Firm Agree on standard templates as a team so everyone uses consistent language when billing clients.
