Configure Hidma to match your business needs and workflow preferences.

Overview

The Settings section is your control center for customizing how Hidma works for your organization. From here, administrators can configure everything from basic system preferences to advanced features like multi-entity management, custom fields, and user permissions. The settings you choose here affect how the entire system behaves for all users, so these pages typically require administrator access.

Organizations

If your business operates multiple legal entities, the Organizations feature lets you manage them within a single Hidma instance. Each organization can have its own bank accounts, billing setup, and financial reporting. This separation helps you maintain proper accounting boundaries while benefiting from consolidated user management and reporting across entities.

User Roles & Permissions

Define what users can see and do in Hidma through role-based access control. System roles grant organization-wide permissions (Super User, HR Manager), while team roles provide team-specific access (Team Manager, Team Member, Viewer). Proper role assignment ensures appropriate access without over-permissioning.

Teams Management

Organize users into teams that reflect your practice areas, departments, or office locations. Teams simplify project access management, enable team-level reporting, support team-based charge-out rates, and establish clear management hierarchies. Share projects with teams rather than managing individual access grants.

Billing Configuration

The most critical configuration area affecting revenue generation and invoice accuracy. Billing configuration encompasses charge-out rates (determining what you bill for time), tax rates (ensuring proper tax calculation and compliance), charges and discounts (defining fee types and adjustments), and document numbering (creating professional invoice identifiers).

Customisations

Extend and personalize Hidma to match your firm's specific needs and brand identity. Customisations include custom fields for capturing business-specific data on clients, projects, jobs, and users, as well as document templates that control the visual appearance of invoices, receipts, and other client-facing documents. Proper customisation ensures Hidma works exactly how you need it while maintaining your professional brand presentation.

Getting Started with Settings

If you're an administrator setting up Hidma for the first time, we recommend this sequence:

  1. Organizations - If operating multiple legal entities, configure them first to establish proper structure
  2. User Roles & Permissions - Review default roles and customize to match your organizational hierarchy
  3. Teams - Create teams reflecting your practice areas, departments, or office locations
  4. Billing Configuration - Critical revenue setup:
    • Set default charge-out rate and team/user-specific rates
    • Configure tax rates for your jurisdiction(s)
    • Define charge and discount types you regularly use
    • Set up document numbering schemes for professional invoicing
    • Configure bill details (what shows on invoice line items)
  5. Customisations - Personalize Hidma to your firm:
    • Customize document templates with your branding, logo, and colors
    • Add custom fields for business-specific data capture as needed

Common Tasks

Assigning User Roles Navigate to a user's profile, access their roles section, and assign system roles (organization-wide permissions) or team roles (team-specific access levels). See User Roles & Permissions for details.

Creating Teams Go to Settings > Teams to create new teams reflecting your organizational structure. Add team members and set team charge-out rates. See Teams Management for guidance.

Setting Charge-Out Rates Access Settings > Billing > Charge-Out Rates to configure default, team-specific, user-specific, or project-specific billing rates. See Charge-Out Rates for the rate hierarchy.

Configuring Tax Rates Visit Settings > Billing > Tax Rates to define tax rates for different jurisdictions and set default rates for charge/discount types. See Tax Rates for compliance guidance.

Defining Charge & Discount Types Access Settings > Billing > Charges and Discounts to create standardized fee types (rush charges, volume discounts, etc.). See Charges & Discounts Configuration for details.

Adding Custom Fields Navigate to Settings > Customisations > Custom Fields to extend clients, projects, jobs, or users with business-specific data fields. See Custom Fields for field type options.

Need Help?

Most settings include inline help text explaining what each option does. If you're unsure about a configuration choice, hover over the information icons or consult your Hidma administrator before making changes. Settings changes can affect all users in your organization, so it's worth taking time to understand the implications.


Administrator Access Required

Most settings require administrator permissions. If you don't see the Settings section in your navigation, contact your system administrator to request access or to have them make configuration changes on your behalf.
