Creating Projects
Set up a new project so your team can start tracking time to it.

Before You Start
Make sure the client is already added to Hidma.
How to Create a Project
Step 1: Go to Projects
Click Projects in the left sidebar.
Step 2: Click "Add New"
Look for the "+ Add new" button.
You might also see a "Templates" button if you want to use a project template.
Step 3: Fill in Project Details
Basic Information:
- Project Name - What you call this project
- Client - Which client this is for
- Project Code - Short code (optional)
- Description - What the project is about
Dates:
- Start Date - When work begins
- End Date - When you expect to finish (optional)
Budget (optional):
- Set a budget in hours or dollars
- Helps track if you're on budget
Step 4: Add Jobs
Jobs are the specific tasks people will track time to.
You can:
- Select from a list of standard jobs
- Create custom jobs for this project
- Use a template with pre-set jobs
Step 5: Assign Team Members
Choose who can work on this project. Only assigned people will see it in their timesheet.
Step 6: Set a Recurrence (Optional)
In the Date & Recurrence section, leave Recurrence as Does not repeat for a one-off project, or set a schedule to have Hidma generate each occurrence automatically - with name and code placeholders that resolve themselves. Learn about recurring projects
Step 7: Add Billing (Optional)
In the Billing section you can define Bills, Recurring Bills, and Charges for the project up front, so a fixed fee, retainer, or upfront disbursement is in place the moment the project exists. Learn about billing at project creation
Step 8: Save
Click "Save" or "Create Project" and you're done!
What Happens Next?
- Team members can now track time to this project
- The project appears in everyone's project list
- You can start tracking progress
Creating Projects in Bulk
When you need the same project across many clients - for example, a "FY26 Accounts" project for your whole client base - you can create them as a batch instead of one at a time.
The "All Clients" Option
When creating a batch of projects, choose the All Clients option to generate the project across your entire client base in one action, rather than picking clients individually. This is the fastest way to roll out a standard project to everyone.
Background Processing
Project batches are queued and processed in the background, so you don't have to sit and wait:
- Start the batch and carry on working elsewhere in Hidma - the creation runs behind the scenes
- A progress indicator keeps you informed and notifies you as soon as the batch is complete
This keeps large roll-outs from tying up your session, and means creating a project for hundreds of clients is a fire-and-forget action.

Use project templates for projects you do repeatedly - saves setup time!
