Overview
Depending on your permissions, the Dashboard page shows up to three dashboards, each on its own tab:
| Dashboard | Who sees it | What it shows |
|---|---|---|
| My Dashboard | Everyone | Your own hours, productivity and deadlines |
| My Team | Team managers | How your team is doing |
| Entire Firm | Users with the right permission, usually partners, directors or super users | How the whole practice is doing |
My Dashboard
This is your personal dashboard. It shows an overview of your year and your productivity, your notifications, a summary of your deadlines (open, overdue, due this week and completed), and a list of your upcoming deadlines.
My Team
You see this tab if you manage at least one team.
At the top, choose one team, or All to see every team that reports to you. Choose the period at the top right: week, month, quarter or year. Everything on the page updates to match.
The dashboard shows:
- Team deadlines: a summary of open, overdue and upcoming deadlines, with a list of them
- Team hours: billable hours against the team's total capacity, compared with the previous period
- Hours by type: how the team's hours split between business (billable), internal and personal time
- Top member: the person with the most hours in the period
- Average value per hour: the value of the team's hours based on how much of their time was billable
- Hours by team member: for each person, their hours split by type against their capacity, the percentage that was billable, and their value per hour. You can search for a person, filter by team and change the sort order.
Entire Firm
This tab gives a picture of the whole practice. It is only shown to users with the right permission.
Choosing what to look at
- Team: all teams or one team
- Period: from the last month, quarter, half year or year to a set month, a fixed quarter, this year or last year, or the last 24 months
- Exclude non-fee earners: leave out staff who do not bill time
Key figures
Each figure is compared with the previous period, with a short note on how it is worked out.
- Billable utilisation: the share of capacity spent on billable work, against your target
- Recovery rate: how much was billed compared with the value of the time at standard rates
- Effective hourly rate: the billed value per hour actually worked
- Work in progress: unbilled work, including how much is older than 60 days
- Gross margin: billed value less the cost of the staff time
Charts and tables
- Utilisation and recovery, week by week, against your utilisation target
- Hours by team and role: billable hours for each team, split by role, so you can see who contributes most
- Each person against target: who is ahead of their target and who is falling short
- WIP by age: how old your unbilled work is, useful for managers and financial controllers
- Client profitability: hours, WIP, billed amount, recovery and margin for each client. Click a column heading to sort.
Active or closed projects
Client profitability starts with active projects. Figures for active projects can swing a lot, because a project may have been billed up front with little work done yet, or the other way round. Switch to closed projects for a truer picture. Choose a longer period, such as the last 24 months, so there are enough closed projects to compare.
Seeing the numbers behind a chart
Switch on Show the numbers behind each chart at the top of the dashboard. Each chart then shows a table with the figures it is drawn from, for example each week's billable hours, utilisation and recovery.
