Detailed Hours by Team Report

See where every hour went - broken down by team, and split by project for each user.

Overview

The Detailed Hours by Team Report is a Standard Report that takes the familiar Hours by Team pivot and drills it down to the individual client and project behind each figure.

The report opens as one row per user, with their hours pivoted into a column per team. Expanding a user reveals the clients and projects those hours were actually booked to. So instead of only knowing that a person logged 120 hours to the Compliance team, you can see that 52 of them went to one client's AML consultancy and 26 to another's risk assessment.

Because a project belongs to exactly one team, each detail row fills a single team column. That means the column totals reconcile exactly with the Hours by Team report for the same filters - the detailed version doesn't give you a different answer, it gives you the same answer with the workings shown.

Running the Report

  1. Navigate to Reports in the left sidebar
  2. Open the Reports tab
  3. Select Detailed Hours by Team Report from the report dropdown

Then set your filters:

  • Date Range - the period to measure
  • Users - narrow to specific people, whole teams, or leave as all
  • Client Types - filter by client classification
  • Clients - select specific clients
  • Projects - narrow to individual projects
  • Group by - see Grouping below

Grouping

The Group by filter controls the shape of the report:

SettingWhat you get
User (default)One row per user, expandable to the clients and projects their hours were booked to
ProjectA flat list of per-project rows, with no user grouping

Grouping by user is the view most people want: it starts from the person and drills into their work. Grouping by project flattens the same data when you'd rather scan the projects directly.

Understanding the Columns

ColumnWhat it shows
UserThe person who logged the time
Client CodeThe client's code, where your organisation records one
Client NameThe client the work was booked to
Project NameThe project the hours were logged against
One column per teamHours booked under that team, rounded to two decimal places

The team columns are generated from the teams configured in your organisation, so the report reflects your own structure rather than a fixed set of headings. See Teams for how teams are set up.

Exporting

Downloading the report gives you the full detail as a flat table - one row per user, client and project - regardless of which grouping you were viewing on screen. This is deliberate: a spreadsheet is where you'd build your own pivot, so the export hands you the underlying rows rather than the collapsed view.

Reconciling against Hours by Team

If a team column total doesn't match what you expect, check the Date Range and Users filters first - both reports have to be run over the same filters before their totals can be compared.

Self-employed contributors

Time from self-employed contributors can optionally be reported as its own Self-Employed column rather than folded into their team. This is switched off by default - contact support@hidma.com if you'd like it enabled for your organisation.

Common Uses

Understanding a person's mix - Expand a user to see how their hours divided across clients and projects. A team member whose time is spread thinly across a dozen engagements has a very different week from one who spent it on two.

Explaining a team's total - When a team's hours look higher or lower than expected, the detail rows show which projects drove the number instead of leaving you to guess.

Cross-team work - Where a user has hours in more than one team column, the detail rows show exactly which projects took them outside their usual team.

Feeding external analysis - Export the flat rows and pivot them yourself for board packs, partner reviews, or capacity planning.
